Refund & Cancellation Policy

Clear terms about listing fees, subscription cancellations, and your rights as a healthcare provider.

Effective: March 5, 2026
Last Updated: March 5, 2026

Provider notice: This policy applies to listing fees and professional service payments made by healthcare providers. Patient payments are subject to separate terms.

Overview

Thank you for choosing Zoom Doctor. This Refund and Cancellation Policy governs the listing fees and professional service payments made by healthcare providers ("Providers," "Users," or "You") to Zoom Doctor ("the Platform," "We," "Us").

By subscribing to a listing plan or making a payment for professional services on Zoom Doctor, you agree to the terms outlined below.

1. General Policy: No Refunds

Zoom Doctor operates on a strictly No-Refund basis for all listing fees, subscription plans, and promotional credits. Once a payment is processed, it is considered final.

We do not offer pro-rated refunds for:

  • Partial months or unused portions of a subscription term.
  • Instances where a Provider chooses to deactivate their profile before the subscription expires.
  • Cases where a Provider’s account is suspended or terminated due to a violation of our Terms of Service or Professional Conduct Guidelines.
Double‑check UI: On payment pages a checkbox confirming “I understand that all listing fees are non‑refundable as per the Refund Policy” helps prevent accidental chargebacks.

2. Rationale for Policy

The fees charged by Zoom Doctor cover the immediate costs associated with:

  • The administrative overhead of verifying medical credentials.
  • The digital hosting and maintenance of the Provider’s profile.
  • The immediate SEO and indexing benefits provided by the Platform.
  • Access to the proprietary doctor-discovery interface.

3. Subscription Cancellations

While we do not offer refunds, you have the right to cancel your subscription at any time.

  • Effect of Cancellation: Cancellation will stop the automatic renewal of your listing for the next billing cycle.
  • Continued Access: You will continue to have full access to your premium listing and platform features until the end of your current paid billing period.
  • Notice: To avoid being charged for the next billing cycle, cancellations must be processed through your Provider Dashboard at least 48‑72 hours prior to the renewal date.

4. Service Availability and Technical Issues

Zoom Doctor strives for 99.9% uptime. However, we do not provide refunds or credits for scheduled maintenance or unforeseen technical interruptions. In the event of a prolonged platform-wide outage, Zoom Doctor may, at its sole discretion, offer time-based extensions to current subscriptions, but no cash refunds will be issued.

5. Modifications to Service

Zoom Doctor reserves the right to modify, enhance, or change the features of the listing platform at any time. Such changes do not entitle Providers to a refund of previously paid fees.

6. Statutory Rights

Nothing in this policy is intended to limit any rights you may have under local consumer protection laws that cannot be waived by contract. If any part of this policy is found to be unenforceable by a court of competent jurisdiction, the remainder of the policy shall remain in full force and effect.

For chargeback defense: having this clear policy is your primary evidence to win disputes.

8. Implementation Notes (B2B Context)

  • Double‑Check UI: On your payment page, ensure a checkbox: “I understand that all listing fees are non‑refundable as per the Refund Policy.” This prevents “accidental” chargeback claims later.
  • B2B vs. B2C: “No Refund” policies are much easier to enforce in B2B transactions (you to the doctor) than in B2C. Since this fee is specifically for doctors, this strict language is standard and acceptable.
  • Chargeback Defense: If a doctor files a chargeback with their bank, having this clear policy on your site is your primary evidence to win the dispute.
